EG Therapy's Privacy Policy

This page outlines EG Therapy's privacy policy. As a business who supports people individually, both online and face to face, understands the importance of privacy and data protection. We adhere to the General Data Protection Regulations (GDPR), enforced in May 2018. The policy outlines the methods in which data is collected, stored and shared within the guidance of GDPR. This policy will be regularly reviewed and updated in accordance with legal policies.

This business is registered with the Information Commissioner's Office (ICO), registration number available on request. I, Ethan Gordon am the registered data controller for EG Therapy.

Information collected on individual clients may include:

  • Name, address, contact details

  • Emergency contacts e.g. a nominated person or General Practitioner, or both

  • Information from emails, texts and phone calls

  • Any therapy agreements between us (including contracts and consent)

  • Information about financial transactions e.g. invoices, receipts

  • Information gained from sessions such as session notes: Factual and brief outlines of each session, with additional notes on the following session

Third Parties

  • Any consent given to cookies will obtain data such as time, date, IP address

  • Information about our financial transactions (by banks)

  • Information from emails, texts and phone calls

How This Information is Collected

  • Information may be collected verbally, through texts, emails and/or phone calls

Why This Information is Collected

  • To ensure I establish and maintain ethical and professional standards, as set out by the British Association of Counsellors and Psychotherapists (BACP)

  • Complying with legal standards of information collection and storage with UK and EU law

  • To ensure client safety

  • To enable financial transactions to take place between us

How This Information Will Be Stored

  • Electronically: All electronic information such as texts, emails, photocopies, notes are stored on a password encrypted cloud system, on one device

  • On paper: Any hard copies of notes, activities, contracts will be kept within a locked filing cabinet

  • Names will be anonymised with a numeric code, the code and corresponding name will be kept in a separate file to ensure this anonymity

When Information Would Be Shared and Who With

  • Information will only be shared on a need to know basis, if I am legally obliged to share. this may be in the case of safeguarding issues, potential/actual acts of terrorism, money laundering, potentially self-endangerment. In this case, information maybe shared with relevant authorities such as the police or social services

  • My professional executor in the case of my incapacity or death

  • My professional body, should anyone make a complaint

  • A lawyer, should any information be called to a court of law

  • Anonymised information will be shared with my clinical supervisor or other counsellors to ensure the client is safe and to gain further insights for better support

  • With consent from the client, information may be shared with other professionals in the case of any CPD (Continuous Professional Development)

How Long Will Information Be Kept

  • Data electronically can never be erased for certain

  • Paper copies will be held for up to 7 years and then destroyed completely. In the case of a child, data will be destroyed 7 years from their 18th birthday

  • You may request the removal of your data at anytime

Information Outside Of The EU

  • I will not knowingly send information outside the EU unless I am required to comply with the instructions from a court of law or I must do so because of legal action brought against me by you as a client

How We Use Cookies

  • Cookies are small files which ask to be placed within your computer's hard drive.

  • Upon your agreement to allow cookies, this merely means it will collect data which only demonstrates the amount of web traffic and usage this site has

  • The purpose of cookies to EG Therapy is that they inform what areas can be developed within the website
